1PAX Architects is seeking a Bilingual Executive Administrative Assistant to join our team and provide administrative, organizational, and coordination support to the executive leadership of the studio.

This position plays an important role in ensuring efficient communication, accurate documentation, and smooth coordination between leadership, internal teams, external collaborators, clients, and suppliers.

The ideal candidate will be highly organized, detail-oriented, proactive, and flexible, with the ability to manage administrative procedures and multiple priorities in a dynamic international environment. Previous experience in architecture, engineering, infrastructure, construction, or large-scale project development will be especially valued.

Responsibilities

The selected candidate will be responsible for:

  • Providing direct administrative support to the executive team.
  • Managing calendars, travel arrangements and , presentations.
  • Preparing, reviewing, and organizing administrative, corporate, and project-related documentation.
  • Coordinating internal and external procedures, requests, follow-ups, and document workflows.
  • Assisting with documentation for procurement processes, tenders, bids, competitions, or acquisition procedures.
  • Maintaining updated files, records, databases, and document control systems.
  • Tracking deadlines, deliverables, pending tasks, and administrative processes.
  • Ensuring accuracy, confidentiality, and professionalism in all administrative activities.
  • Supporting a structured and efficient working environment for the leadership team.

Qualifications

Required and preferred qualifications include:

  • Advanced level of Spanish and English, both written and spoken.
  • Minimum 3 years of professional experience in executive assistance, administrative support, administrative coordination, or similar roles.
  • Preferred experience in architecture, engineering, infrastructure, construction, mobility, or technical project environments.
  • Experience in procurement processes, tenders, bids, competitions, or technical-administrative documentation will be considered a plus.
  • Strong command of office software, digital work platforms, and document management tools.
  • Excellent organizational, planning, and prioritization skills.
  • High attention to detail and strong follow-up capacity.
  • Proactive, adaptable, and solution-oriented approach.
  • Strong written and verbal communication skills.
  • Ability to coordinate with multidisciplinary and multicultural teams.
  • Knowledge of French or additional languages will be positively valued
